HolidayHello is operated by TourismBI GmbH. This page explains what information we collect when a guest creates a postcard, how we use it, and what we never do with it.
Who we are

We provide the HolidayHello postcard platform to hotels. The hotel is your point of contact for the stay; we are the processor who makes the postcard happen.
What we collect
When a guest uses a hotel's branded HolidayHello page, we collect:
- The photo the guest uploads from their device.
- The personal message the guest writes.
- The recipient's name and postal address the guest provides.
We do not collect payment details (guests do not pay directly), account passwords, location data, or device identifiers. We may collect standard web-server logs (IP address, browser type, request timestamp) for security and diagnostics only.
How we use it
Guest data is used for one purpose: to produce and dispatch the postcard.
The photo and message are rendered into a print-ready PDF. That PDF — together with the recipient address — is passed to our professional print and mail partner (see below). Once the postcard has been dispatched, we retain a reference record for invoicing the hotel. We do not use guest data for advertising, profiling, or any secondary purpose.
Professional print manufacturing
Postcards are produced by a professional commercial printing partner under a data-processing agreement. They receive only the print-ready PDF and the postal address required to dispatch the card. They are contractually prohibited from using that data for any other purpose and must handle it in accordance with the GDPR.
Cards are printed on 350 gsm uncoated card stock and dispatched within 24 hours of the order being placed.
We never sell your data
No guest data is ever sold, rented, or traded to any third party. We do not share data with advertising networks, data brokers, or analytics companies. The only third party that receives any guest data is our print partner, strictly for the purpose of producing and posting the card.
Data retention
Uploaded photos and message content are deleted from our servers within 30 days of the postcard being dispatched. The recipient's address is retained only for as long as needed to confirm successful dispatch, and is then deleted. Invoicing records (which reference the card was ordered but do not include the message or photo) are kept for the period required by Italian and EU tax law (10 years).
Your rights under GDPR
If you are located in the European Economic Area, you have the right to access, rectify, or erase the personal data we hold about you, to object to or restrict processing, and to data portability. Because we do not store accounts or email addresses for guests, the most practical way to exercise these rights is to contact us directly:

You also have the right to lodge a complaint with your national data protection authority. In Italy, this is the Garante per la protezione dei dati personali (garante.it).
Cookies
HolidayHello's guest-facing pages do not use tracking cookies or third-party analytics scripts. The admin portal uses a session cookie solely to maintain the authenticated session of hotel staff.
Changes to this policy
If we make material changes to this policy we will update the date at the top of this page. Continued use of the service after changes are posted constitutes acceptance of the revised policy.
